Case study: SETMA

Southeast Texas Medical Associates (SETMA) is a privately owned consortium of medical professionals dedicated to providing the best medical care to patients, and with a unique commitment to technology.

Unlike many organizations that follow a reactive approach, SETMA anticipates the future of electronic medical record management and patient security and has implemented an innovate set of tools and solutions to stay ahead of the curve.

Challenges

Just as medical offices store paper medical records behind lock and key, SETMA Chief Informational Officer Richmond Holly realized there was a need for stronger access controls to protect their online systems. SETMA was using industry standard user names and passwords to login to the network, but Holly felt this was not enough to protect this critical information. User names and passwords were problematic as they were less secure and cumbersome for the doctors to remember with increasingly longer and more complicated passwords. Holly worried because he suspected some users were writing down or sharing login information – a big security risk. Richard Holly explains:

“Security is a big thing for us. The majority of the healthcare industry has been lax in securing networks. Although there is no current regulation that requires two factor authentication, we wanted to lead the way, and go above and beyond what is necessary to protect our patients.” /Richmond Holly, Chief Informational Officer

Not only were we using shared logins for all exam rooms, which wasn’t secure, but our physicians still had to use separate user names and passwords to login to various applications every time they went to a new patient room. It was tedious for our staff to remember all the complicated passwords and we didn’t want our patients to see our processes as anything less than seamless.”

Solution

Holly and his team evaluated several solutions, but liked the idea of two-factor authentication – something you have (token or smartcard) paired with something you know (PIN). They chose Gemalto’s IDPrime smartcards for security reasons, but also to improve efficiency and convenience. In addition, it ensures physicians don’t leave a computing device with an open session.

It was easy to deploy smartcards with SETMA’s existing Microsoft environment, making the smartcards easy to deploy and simple to use with no need to install or maintain any extra software or middleware. The smartcards were also integrated with door security at SETMA’s four clinical locations, making a converged badge for physical and logical access. For the management of the smartcards, SETMA chose the vSEC:CMS S-Series application which allowed their IT administrators to quickly deploy digital identities to the smartcards assigned to the staff. Using the vSEC:CMS S-Series application, the complete lifecycle of the smartcards could be managed from one central application.

Using a SETMA physician as an example, here’s how it works:

  • Physician uses the smartcard with the contactless physical access control system to enter into the facility.
  • The card is attached to a white coat for secure visual identity.
  • Physician greets the first patient of the day and enters the smartcard into the shared computer for two factor logical access. Pulls up the patient chart to access medical history and enter information from the visit.
  • When the visit is complete, the physician pulls the card from the computer, automatically logging out of the shared resource. The system is disconnected and will only reconnect when a card is inserted and the PIN is entered. However, whatever applications the physician logs into will remain open throughout the day, so there is no more logging in and out of multiple applications while the patient waits.
  • The physician travels to another location and uses the same secure identity card to access the physical access control system for this location.
  • Physician uses the badge to securely login to the computing resources at new location. Applications remained from the earlier session. This allows the physician to continue to see patients at the new location without re-opening applications.

Case study: CCAD

Cleveland Clinic Abu Dhabi (CCAD), is a world-class multispecialty hospital on Al Maryah Island in Abu Dhabi, UAE. The hospital was designed and developed by Abu Dhabi’s Mubadala Development Company and leading US-based hospital, Cleveland Clinic, to address a range of complex and critical care requirements unique to the Abu Dhabi population.

Mubadala is helping to address the region’s most pressing healthcare needs through the creation of specialist healthcare facilities, building regional capability and stimulating the overall development of the sector.

Challenges

As a new state-of-the-art medical facility no stone was left unturned. The chief IT integrator was tasked with providing the best in class systems. With this task in mind security was of course high on the list of requirements. From a security perspective, and working with the leading players in this field, smart card technology was deemed the best and most appropriate technology to deploy. The flexibility and enhanced security elements of the smart card meant that the staff of CCAD could use the smart card as an employee badge, allowing them to use the smart card to access the hospital facilities and logically access the IT systems deployed at CCAD.

Solution

In order to maximize the benefits that smart card technology can bring, systems need to be deployed to manage these smart card devices. After evaluating the leading vendors in management applications for smart card technologies, the chief integrator selected the vSEC:CMS S-Series . This product provides the highest possible security standards for managing the smart cards, with particular benefits being around the batch issuance capabilities and the many external interfaces supported by the system. With such a large and complex environment, having the capability to interface to PKI systems, physical access systems, HR systems and SSO environments meant that the vSEC:CMS S-Series was a perfect fit.

Implementation

All successfully and complex IT system deployments have one thing in common – excellent management controls in place during the roll out. Similar practices were used in this case. The chief integrator decided upon a staged approach which allowed for lessons to be learnt and corrected at the next incremental phase. Working closely with the integrator, a dedicated test lab was setup which allowed for all systems to be tested before going live, leading to a smooth and peaceful deployment. Versasec assisted in every phase of the roll out ensuring maximum success with minimal impact on the day-to-day activities for the hospital staff.

Case study: Global Auto Manufacturer

Concerned about data security in its remote, state-of-the-art manufacturing facility in India, one of the leading automotive makers turned to Versasec’s vSEC:CMS innovative and cost-effective smart card and virtual smart card management system to curb internal and external threats.

Challenges

One of the world’s leading automotive makers, was becoming increasingly concerned with the data security in its remote, state-of-the-art manufacturing facility in India. The wholly owned subsidiary facility, where the auto company manufacturers its trucks, is one of just three truck plants the organization had worldwide that combine truck assembly and components production at one location, so security needed to be stepped up at the plant to curb internal and external data threats. The automotive company studied the issue and determined it would add two-factor authentication to its security mix, but needed a means for managing the system. They decided to test an affordable, two-factor identity and access management solution that could easily scale as the facility added on more workers and could be used as a blueprint for new remote manufacturing facilities.

Solution

The global automotive manufacturer turned to Versasec to deploy a solution that would help it protect its sensitive data against internal and external threats and control overall access to its systems. The auto manufacturer chose Versasec’s vSEC:CMS T-Series, an innovative, easily integrated and cost-effective Smart Card Management System (SCMS or CMS) enabling companies to manage smart cards and virtual smart cards and other two-factor devices within their organizations. T-Series is delivered on a secure USB token with the application, configuration settings and credentials residing securely on the USB token, thereby removing the requirement to invest in expensive server hardware. The vSEC:CMS T-Series is perfect for small installations – particularly those requiring fewer than 400 licenses – and has a direct upgrade path to Versasec’s enterprise IAM solution vSEC:CMS S-Series. The automotive company’s executives said they chose Versasec’ vSEC:CMS because of its excellent security capabilities, its support of the most smart cards on the market, and its ability to easily scale up with planned expansions of the facility and team in India.

Implementation

In the initial deployment, Versasec rolled out a small installation test of vSEC:CMS T-Series to demonstrate its effectiveness and provide day-one security functionality. After proving the concept, the auto manufacturer expanded the two-factor authentication project in India using vSEC:CMS. The company now holds more than 400 vSEC:CMS S-Series licenses in its India plant. The original licenses were implemented several years ago, then doubled the following year. The truck manufacturer also migrated from the vSEC:CMS T-Series to the vSEC:CMS S-Series. Over the course of the deployment, the company has enjoyed the added layer of protection that two-factor authentication provides, and believes its India manufacturing facility is now better protected from internal and external threats.

Out with the old: vSEC:CMS and Yubikey PIV Tokens can replace Legacy Microsoft PKI Systems

In the ever-changing landscape of cyber security and personnel authentication, one of the most time-consuming and difficult tasks is migrating or replacing an old or end-of-life (EOL) security system. With PKI systems, this cannot be more true.

Moving devices, managing old certificates, and minimizing user overhead and issues is difficult at best without a strong migration path. With the announcement from Microsoft that its Microsoft Identity Manager and Forefront Identity Manager platforms (MIM and FIM) are approaching end-of-life dates, companies are scrambling to find the most seamless and cost-effective route of migration.

Enter Versasec’s vSEC:CMS S-Series.

vSEC:CMS addresses the sticky migration issue by allowing users to import and manage legacy credentials previously used in MIM and FIM. A good case example of how to use Versasec in this way comes from Sandia National Labs, which faced the same issue of an end-of-life management system and a user base of 25,000 employees/users with legacy cards and credentials that would potentially need to be migrated.

Migrating Smart cards from MIM and FIM is accomplished using a built-in export wizard in the vSEC:CMS S-Series Console. With this tool, users can export smart cards and tokens from Microsoft and third-party smart card managers into the vSEC:CMS console. As tokens are imported, they can be replaced or phased out as the new Yubikey PIV tokens are issued to users. Users can also request the new credential themselves using the vSEC:CMS User Self-Service tool, making it easier for IT staff to deploy new tokens.

In August 2020, Envoy Data, Versasec, and the Sandia National Labs Engineering staff began deploying the vSEC:CMS solution in a series of remote assistance sessions. Activities included the following:

  • Producing and deploying the CMS console
  • Configuring MD830 and Yubikey token templates
  • Building a CMS connection to Active Directory, CA, and other supporting services
  • Configuring User Self-Service Portal
  • Confirming working deployment to MD830 and Yubikey tokens
  • Creating documentation of the deployment and configuration process (conducted by Sandia in this case).

After confirming creation of working tokens and verifying the token policies were in the correct format, the configuration services were concluded.

“The main benefits from the vSEC:CMS, for us is the ability to manage the YubiKey FIPS, manage the Gemalto IDPrime series smartcards and give us the ability to import management data from MIM. The other capabilities that we are also using is the ability to manage the YubiKey PIV card stock and only issue certificates to devices that we have authorized in the CMS. We are also using the User Self-Service portal for device activation to help us with distribution during the Covid-19 pandemic. The ability to renew certificates from the User Self-Service portal will be a big gain on supporting the device.”

(a) When software is designed to run on a system that has a keyboard, product functions shall be executable from a keyboard where the function itself or the result of performing a function can be discerned textually. Commands can be accessed through the keyboard using the CTRL, ALT, TAB, arrow keys as well as keyboard shortcuts. However, icon-driven commands and all graphical interactions require use of the mouse.
(b) Applications shall not disrupt or disable activated features of other products that are identified as accessibility features, where those features are developed and documented according to industry standards. Applications also shall not disrupt or disable activated features of any operating system that are identified as accessibility features where the application programming interface for those accessibility features has been documented by the manufacturer of the operating system and is available to the product developer. No features of any other products or operating systems are disrupted or disabled by Versasec.
(c) A well-defined on-screen indication of the current focus shall be provided that moves among interactive interface elements as the input focus changes. The focus shall be programmatically exposed so that Assistive Technology can track focus and focus changes. The system provides on-screen indication of the current focus (box highlighting, reverse bold, etc.) in various areas throughout the application.
(d) Sufficient information about a user interface element including the identity, operation and state of the element shall be available to Assistive Technology. When an image represents a program element, the information conveyed by the image must also be available in text. Where icons are used as interface elements the information is also available as text.
(e) When bitmap images are used to identify controls, status indicators, or other programmatic elements, the meaning assigned to those images shall be consistent throughout an application’s performance. The user interface consistently uses images to identify controls, status indicators, or other programmatic elements.
(f) Textual information shall be provided through operating system functions for displaying text. The minimum information that shall be made available is text content, text input caret location, and text attributes. Standard operating system functions are used to output text. Output is available as plain ASCII text. Text input location at the text input caret is set and available using standard operating system functions.
(g) Applications shall not override user selected contrast and color selections and other individual display attributes. Application does not override user selected contrast and color selections.
(h) When animation is displayed, the information shall be displayable in at least one non-animated presentation mode at the option of the user. Not applicable. No animations used
(i) Color coding shall not be used as the only means of conveying information, indicating an action, prompting a response, or distinguishing a visual element. Where color coding is used a textual alternative is given.
(j) When a product permits a user to adjust color and contrast settings, a variety of color selections capable of producing a range of contrast levels shall be provided. Versasec uses the contrast and color settings from the operative system.
(k) Software shall not use flashing or blinking text, objects, or other elements having a flash or blink frequency greater than 2 Hz and lower than 55 Hz. No flashing or blinking objects.
(l) When electronic forms are used, the form shall allow people using Assistive Technology to access the information, field elements, and functionality required for completion and submission of the form, including all directions and cues. Standard operating system features are used to allow the completion and submission of the form and field elements.

Assistive Technology can allow visually impaired people to submit commands via voice input or other means and can allow plain text results to be presented via speech synthesis or a Braille display.
(b) At least one mode of operation and information retrieval that does not require visual acuity greater than 20/70 shall be provided in audio and enlarged print output working together or independently, or support for Assistive Technology used by people who are visually impaired shall be provided. Using standard operating system features, enlarged print output is available in Stata. In addition, support for Assistive Technology is provided to allow users with visual acuity less than 20/70 to submit commands and retrieve results.
(c) At least one mode of operation and information retrieval that does not require user hearing shall be provided, or support for Assistive Technology used by people who are deaf or hard of hearing shall be provided Not applicable. No sounds are generated.
